Outgoing invoices 16
Outgoing invoicesCan the invoice layout be customised?
Yes. Under "Settings" – "Invoice settings" you can choose between 4 templates, add your logo (Settings – Basic details), define additional terms in the text and add text to the invoice footer. If you want to send the invoice by post: use the first template and your customer's address will show through a left-window envelope. If you use a right-window envelope, choose the third template.
Outgoing invoicesCan an invoice or quote be issued in a foreign language?
Yes, your invoices and quotes can also be issued in English and German. FIRA also offers a bilingual invoice option, which means you get the same invoice in English or German alongside Croatian.
Outgoing invoicesIs there a QR code for quick payment?
Yes. If you connect your bank account or enter your IBAN, it is pulled into the QR / 2D code together with all the other details needed for payment.
Outgoing invoicesCan an invoice be issued in a foreign currency?
Yes. FIRA supports foreign-currency invoicing and automatically pulls the middle exchange rate from the European Central Bank's official rate list. FIRA applies these rules when converting a foreign currency to EUR. On issue: the rate valid on the invoice date is applied. Current invoice value: the home screen always shows the invoice value in EUR at the current rate until the invoice is paid. Once a payment date is entered, the rate from that date is used. After payment: the rate on the payment date is stored and used in reports. The outgoing-invoice Excel export shows both rates — the one on the issue date and the one on the payment date — so foreign-currency conversion to EUR stays transparent and precise.
Outgoing invoicesHow do I send an invoice to my client?
You can save the invoice as a .pdf file, print it, or e-mail it to the client straight from the application. If you want to send it by post, use the first template and your customer's address will show through a left-window envelope. You can also send the invoice as an eInvoice.
Outgoing invoicesWhat details does an outgoing invoice need?
Besides the mandatory details for creating an invoice (date, invoice number and so on), some cases call for additional information. We recommend checking this with the accountant or accounting firm you work with. See a visual example of an outgoing invoice.
Outgoing invoicesCan I change or delete a regular transaction invoice afterwards?
Yes. A regular invoice you have created can be edited if needed and sent to the customer again. This does not apply to fiscal invoices and eInvoices — those have to be cancelled with a credit note. A regular invoice can be reopened for editing, and the delete option sits under the small cog, "Invoice settings".
Outgoing invoicesHow do I cancel an invoice in FIRA?
When you change the status of an issued invoice to "Cancelled", FIRA asks whether you want to create the credit note right away. FIRA carries over all the details of the invoice being cancelled and prepares the credit note for you. The credit note gets a new number in the invoice sequence. The video walks through every option for creating a credit note.
Outgoing invoicesIs there a daily limit on how many invoices I can issue?
There is no limit on outgoing invoices, nor on recording incoming invoices (expenses).
Outgoing invoicesCan I have several different invoice number sequences in FIRA?
Yes. In FIRA we keep the number sequence for transaction invoices separate from the one for fiscal invoices, and we strongly recommend keeping the two apart if you issue both kinds. For example: transaction invoices RB-1-1, fiscal invoices RB-Posl1-1. You can in principle run several sequences for both types, but that needs care and monitoring. When you create a new invoice, FIRA looks up the highest sequential number and suggests the next one. For example, if you have 2 different transaction-invoice sequences and the last two invoices are 55-1-1 and 44-2-1, FIRA will suggest 56-1-1 as the next number. If you want to issue 45-2-1, you need to adjust it by hand while creating the invoice.
Outgoing invoicesHow do I go from a quote and an advance invoice to the final invoice?
Create a new quote — in the terms you can spell out whatever matters to you, for example that payment is required to confirm the quote. When the client confirms it, you issue an advance invoice for the amount paid. Carry the quote's contents over with Copy from an existing invoice so you do not have to retype everything. Enter a new invoice number, and in the terms you can reference the related quote number. Once the work is done, you issue the final invoice. We recommend first copying the contents of the advance invoice into it and giving it a new number. Reverse the advance-invoice lines by putting a minus (-) in front of the quantity, then enter the products or services for the full final invoice. The invoice is then issued for the total less the advance already paid, so VAT comes out right too. In the terms you can again reference the advance invoice the final one relates to. See our video guides as well. For further questions about quotes, proformas and advance invoices, talk to your accountant.
Outgoing invoicesWhat is the difference between a proforma and an advance invoice?
A proforma (like a quote) is not a fiscal document — it serves as the basis for payment and carries everything the buyer needs, including the 2D payment barcode. An advance invoice is issued for the amount actually paid and counts as an invoice in the books. The usual order is: proforma → payment → advance invoice → final invoice reduced by the advance paid.
Outgoing invoicesHow do I record that a client paid only part of the amount?
In the invoice list, change the status to partially paid. When changing the status you can also enter the exact payment date, which matters for keeping your reports aligned with the bank statement.
Outgoing invoicesHow do I send a reminder for an unpaid invoice?
The option appears as soon as the invoice passes its due date. In the invoice overview (card view) a black envelope icon shows up — clicking it sends a reminder by e-mail straight from the application. The status not due means the payment deadline has not passed yet; after the deadline the application changes the status to overdue on its own. Fully automated reminders are not available yet.
Outgoing invoicesThe system says the invoice number is already used — what now?
This happens when you try to use the same number for two document types within one sequence (for example for both a regular and a fiscal invoice) — the system does not allow duplicates. The fix is to split the sequences by changing the payment-device marker: for example 5-1-1 for fiscal invoices and 5-1-2 for the rest. If the number was taken by a document you do not need, delete it and the number is freed up again.
Outgoing invoicesI issued invoices but I no longer see them in the list — where are they?
The invoices are certainly still in the system, but an active filter is hiding them — most often a date range or a payment-status filter. Click the x next to the filter to reset the view, or sign out and back in.

Banking 17
BankingWhy connect a bank account?
FIRA is the first Croatian application that lets users see the balance and transactions of their bank accounts, so you can keep all your finances in one place. Connecting a bank account gives you: Consolidated accounts — whether you have one account or several, at the same bank or different ones, FIRA brings them together under one roof and shows the balance and transactions of them all. Payment tracking — FIRA automates reconciliation, matching outgoing invoices against incoming payments on your bank accounts in real time and notifying you when an invoice has been paid. Collaboration and sharing — with FIRA you can grant secure access to people you trust, such as external accountants, letting them see your financial transactions and account balances without delay.
BankingWhat is the difference between FIRA and my bank's online banking?
FIRA shows the balance and transactions of bank accounts or payment services such as PayPal. It compares your outgoing invoices against the transactions on those accounts and works out the payment status of each invoice that way. Making a payment order through FIRA is not possible at the moment. If you want to give someone visibility of an account's balance and transactions, you can add them as a user in FIRA and they will see everything you see — which is easier and faster than granting power of attorney through the bank.
BankingWho can see my bank accounts?
Your banking data is visible to you alone. For FIRA to work, bank account information is refreshed four times a day and stored on FIRA's cloud servers. We provide this service together with our partner GoCardless, licensed by the French central bank, ACPR (Autorité de Contrôle Prudentiel et de Résolution).
BankingIs it safe to link bank accounts?
Yes. Together with our partner GoCardless we built a secure process for adding a bank account to the application. GoCardless is a licensed Account Information Service Provider (AISP), authorised by the French central bank, ACPR (Autorité de Contrôle Prudentiel et de Résolution).
BankingOnce I link a bank account, does it stay linked forever?
When you link an account you authorise data transfer for the next 180 days, because that is what the law sets. After 180 days the authorisation has to be renewed — the same process as the first time. See our tutorial video on how to link a bank account.
BankingHow do I link a bank account?
Steps for linking a bank account or payment service: choose the country and the bank or payment service you want to connect. Our partner GoCardless then opens its screen and you need to accept the terms. You are redirected to your bank's site. Some banks additionally ask for the company's tax number and whether the account belongs to an individual (Retail) or a company (Corporate). Sign in the way you normally do (for example mToken) and give consent for the information to be passed to FIRA. Some banks have their own quirks. Zagrebačka banka: if you use e-zaba business banking, the USB certificate you normally use to sign in to online banking has to be in the computer. If you use m-zaba business banking, the account can only be linked from the mobile device that has the m-zaba app installed. OTP Banka: you will need to enter the token serial number twice and generate two tokens (Appl1).
BankingCan I link several bank accounts from different banks?
There is no limit: you can link several accounts from the same bank or from different ones. You can also link your business and personal accounts if you want all your finances in one place. Linking multiple accounts is available on the FIRA Pro plan.
BankingCan I link several bank accounts from the same bank?
Yes, you can add a second account with a different IBAN at the same bank. If you hold a multi-currency account at your bank — the same IBAN but, say, a USD and a EUR account — the bank will let you choose which account to link to FIRA. Linking multiple accounts is available on the FIRA Pro plan.
BankingCan I link bank accounts from abroad?
Yes. FIRA covers more than 2,300 banks and payment services across 30 European countries.
BankingHow often are bank account transactions refreshed?
Bank account transactions are refreshed 4 times a day, at roughly 08:00, 11:00, 14:00 and 18:00.
BankingIs bank account data shown in real time?
Bank account transactions are refreshed 4 times a day, at roughly 08:00, 11:00, 14:00 and 18:00.
BankingI linked the same bank account twice — how do I remove the duplicate?
Go to Settings → Account settings and delete the IBAN you do not want. Deleting the IBAN also ends synchronisation with that bank, so the duplicated balance disappears. If you still see two connections afterwards, write to info@fira.finance.
BankingHow do I change bank or disconnect a bank account?
In Settings → Account settings, delete the IBAN of the bank you no longer use — that ends the connection. Then repeat the linking process for the new bank. Linking a bank is not mandatory: without it FIRA works normally, you just mark payments manually.
BankingWill deleting a bank account also delete the payment history?
No. Deleting the connection only stops future automatic synchronisation. Invoices already marked as paid keep their status.
BankingWhy does an invoice still show as unpaid when the money has arrived?
FIRA matches payments strictly on the payment reference (for international payments, the Reference field). If the customer did not enter it, or entered it wrong, the system has no way of knowing which invoice the payment belongs to. Tell customers to pay by scanning the 2D barcode on the invoice — it fills in every detail by itself. In the meantime you can change the status by hand and enter the correct payment date.
BankingWhat if my bank is not on the supported list?
Through the PSD2 standard FIRA supports most Croatian banks (Zaba, PBZ, Erste, OTP and others) as well as Revolut. If your bank is not on the list, that account unfortunately cannot be linked to FIRA.
BankingLinking to Zaba Corporate throws a certificate error — what should I do?
The error means the bank's system cannot detect your certificate. If you use a USB token it has to be plugged in and signed in before you click connect, with the drivers for the reader or USB stick installed. If you use mZaba mobile banking, start the connection from the phone itself — the system then hands authentication over to the mZaba app.

In general 11
In generalWhat is FIRA?
FIRA is for every business user who wants to manage their finances simply, intuitively and efficiently. Some of the main features: creating quotes and invoices, digitally and fast; e-mailing invoices to clients with a QR code for easier payment; sending invoices as eInvoices; fiscalising invoices; everything in one place — add your bank accounts and FIRA tracks payment of your invoices for you; and access 24/7 from any device.
In generalCan I switch to FIRA in the middle of the financial year?
Of course. If you want to manage your finances efficiently and digitally, FIRA is your first choice and you can start straight away. What matters is that you keep all the documents you have created so far for later use. If you have issued only a small number of invoices this business year, we suggest entering them into FIRA as well so that everything sits in one place. FIRA lets you upload an Excel sheet of your clients, products and services — see the Clients and products section for details.
In generalWhat invoices and other documents can I create?
Quote or proforma — a document offering products or services before an invoice is issued. Advance invoice — an invoice for an amount the client has already paid up front. Invoice — the standard invoice issued to clients for services or products. Credit note — an invoice that reverses one issued earlier, usually after an error or a return. eInvoice — an electronic invoice that meets the legal requirements and can be sent to clients directly through the eInvoice system. Fiscal invoice — an invoice that has to be fiscalised in Croatia under the Fiscalisation Act. Fiscal credit note — the reversal of a fiscalised invoice where a correction or cancellation is needed. Delivery note — a document accompanying the physical movement of goods, often used alongside an invoice.
In generalWhy FIRA and not some other solution?
Simplicity — FIRA was built for users and with users, so that it is quick and easy to work with. See for yourself and try it free for 30 days. Modern thinking — we are the first Croatian fintech to offer bank account linking, so all your finances sit in one place. Innovation — we use current technology. You can use FIRA anywhere, any time, on any device, and you do not even need a separate mobile app.
In generalCan I test the FIRA application for free?
Yes, you can use the application free for 30 days.
In generalIs there a FIRA app for mobile devices?
FIRA works on any device, phones included, and adapts automatically to your screen. If you want FIRA on your home screen like an app, then while using FIRA in your browser (Chrome, Samsung Internet, Safari and so on) tap Settings → "Add to home screen". The FIRA icon then appears on your device's home screen. There is a short video showing how.
In generalDoes the application need installing, and which devices does it run on?
No installation at all. FIRA is a cloud application you reach through a web browser (Chrome, Safari or Firefox, for example) from any computer, tablet or phone, whatever the operating system. You can use it on several devices at once — what you enter on the computer shows up on the phone immediately.
In generalHow do I import clients and products from Excel?
Clients and products can be uploaded in bulk with an Excel sheet. The official template and instructions are on the Clients and products page. The most common reasons an import fails: the country written out in full instead of the two-letter code (HR, DE, AT), the column order in the template changed, mandatory fields left empty, or two products sharing a name or code. If you cannot get it through, send the sheet to info@fira.finance and we will upload it for you.
In generalI am moving from another program — which number do I continue from?
You can switch at any moment. When creating your first invoice in FIRA, type in the next number that is due (for example 6-PP1-1) and the system carries the sequence on from there. Importing invoices directly from other programs is not possible. Enter old invoices by hand as regular invoices where needed, with their original number and issue date.
In generalIs FIRA suitable for associations and non-profits?
Yes. FIRA is set up for the needs of associations, and users from the non-governmental sector already run their operations on it.
In generalHow do I put FIRA on my phone's home screen?
Open app.fira.finance in your phone's browser, tap the options (three dots or the Share icon) and choose Add to home screen. You get an icon that opens full screen, like a real app. There is a 30-second video.

Subscription 15
SubscriptionWhat subscription options do you offer?
We offer monthly or annual subscriptions and several FIRA plans. You will find the details in the pricing.
SubscriptionAre subscription prices with or without VAT?
Our prices are shown without VAT, so 25% VAT is added on top.
SubscriptionDo I need to sign a contract?
No, there is no separate contract to sign. Our terms and conditions govern the relationship between FIRA Solutions d.o.o. and the user and set out the rights and obligations on both sides. By activating a subscription the user enters into an agreement for the length of that subscription — monthly or annual, depending on the plan chosen.
SubscriptionHow do I cancel my subscription?
To cancel, go to "Settings → FIRA plans" in the application. You can cancel from the section showing your transactions. Cancellation takes effect immediately and your card will not be charged again. FIRA does not refund payments where the agreement is ended before the agreed period runs out. Your documents remain available in your account after cancellation.
SubscriptionHow do I get an invoice for the subscription I paid?
The invoice for a paid subscription is sent to your e-mail address automatically. You can also download it yourself straight from FIRA: Settings → FIRA plans.
SubscriptionHow long is the free trial and which plan do I get?
The trial runs a full 30 days from registration. Throughout it you are automatically on FIRA Pro, our largest plan, so you can try every feature without limits. The exact expiry date is shown under Settings → FIRA plans.
SubscriptionDo I have to enter card details to try FIRA?
No. No card is needed for the trial. Registration is quick and does not commit you to buying anything later.
SubscriptionWill I be charged automatically when the trial ends?
No. FIRA does not charge automatically when the trial runs out. The application simply locks until you choose and pay for the plan you want.
SubscriptionWhat happens to my data when the trial ends?
Everything you entered — settings, logo, clients, items and issued invoices — stays safely stored. The moment you activate a plan you carry on exactly where you left off.
SubscriptionHow do I change the card my subscription is charged to?
Go to Settings → FIRA plans and click Activate — a secure window opens for entering the new card. For security reasons the card number cannot be overwritten while a subscription is active. If you need to change the card before it expires, write to info@fira.finance so we can remove the old one, then activate the plan with the new card.
SubscriptionWhat happens if a subscription payment fails, for example an expired card?
You get an e-mail notification and the subscription is temporarily deactivated. Enter the new card details under Settings → FIRA plans and carry on. Your issued invoices, clients and settings are untouched.
SubscriptionCan I pay the subscription by bank transfer instead of by card?
Yes, but only for an annual subscription. Go to Settings → FIRA plans and at the bottom of the page choose "If you cannot pay by card, click here for bank transfer". The system shows all the payment details, activation is immediate, and the invoice arrives as soon as the bank posts the payment. Monthly subscriptions are card-only, to keep the service running without interruption.
SubscriptionCan I move up to a larger plan later, and do I pay the full price?
You can move up at any time. If you have already paid an annual subscription for a smaller plan, you do not pay the new plan's full price — only the difference for the remainder of your period. For an upgrade, contact support at info@fira.finance.
SubscriptionIs there a discount if I use FIRA for several companies?
Yes. Every second and further subscription gets 50% off. No separate contract is needed for each additional business — you activate the subscription inside the application. The offer applies to companies under the same ownership, on an annual subscription, on the Basic and Pro plans.
SubscriptionWhat happens to my invoice archive if I stop paying?
Your data stays safe after a subscription stops being active. You keep the right to access your profile and can download all invoices and data free of charge to store locally. FIRA does not charge for access to the archive once a plan has ended.

Accounting 7
AccountingDoes FIRA cover accounting?
FIRA is not meant to replace your accountant but to complement working with one by making finances easier to manage. You can, for example, grant your bookkeeper access so that at month end they can pull all outgoing and incoming invoices for posting.
AccountingCan I give my accountant access to FIRA?
Yes. On FIRA Basic you can add up to 5 users; on FIRA Pro there is no limit. Accountants have their own role, FIRA Finance, which gives them the same visibility as the owner apart from access to settings. With that access your accountant can pull outgoing and incoming invoices and various Excel overviews on their own.
AccountingDoes FIRA integrate with accounting systems?
Yes. FIRA can export files for the Synesis and Pantheon accounting programs. Synesis: an eIRA file can be generated for posting to the outgoing-invoice ledger, and an eURA2 file for the incoming-invoice ledger. Pantheon: an Excel file of outgoing invoices is available. Get in touch if you need further integrations.
AccountingI am an accountant — can I access several companies in FIRA?
Yes, one user can access any number of companies. You always sign in to FIRA with your e-mail address (your username) and password. What matters is that the owner of each company adds you as a user with the FIRA Finance role.
AccountingDoes FIRA offer a Warehouse feature for stock management?
Yes, the Warehouse module is included in the FIRA Pro plan. You can run one or several warehouses, track movements, take stock and export data for your inventory accounting.
AccountingHow do I add an accounting firm, and does it cost extra?
Go to Settings → Users → Add user, enter the firm's e-mail and give them the Finance role. The accountant receives an invitation and sets their own password — you do not have to hand over your credentials. There is no extra charge: the accountant uses one of the user seats already included in your plan (Light and Light+ have two). That second seat is meant for exactly this, but it is not restricted — you can assign it to anyone.
AccountingCan the accountant correct invoices directly in the application?
Yes. Depending on the role assigned, an accountant can prepare invoices and quotes and fix mistakes before sending, as well as review documentation — but has no access to your settings.

Users 10
UsersWho can use FIRA?
Every kind of business user — sole traders, companies, family farms, self-employed professionals and so on — as well as, for example, private landlords.
UsersHow do I register?
It is simple: to start you only enter an e-mail address and a password, and you can get to work straight away with the first 30 days free. We also offer quick registration with a Google account.
UsersHow many users can I register?
The number of users depends on the plan: FIRA Light and Light+ have 2 each, Basic has 5, and Pro has no limit. On Light and Light+ the second seat is intended for an accountant, but it is not restricted — you can assign it to anyone. You set each user's level of access through roles.
UsersCan one user manage several companies in FIRA?
Yes. If you register your companies under the same user (the same e-mail address), you can switch between them by clicking the company name in the top right corner. The same applies if you have been granted access to several companies — for example if you are the accountant for a number of businesses that use FIRA.
UsersHow do I add a new user, and what roles are there?
Go to Settings → Users and click the blue (+) button in the bottom right corner. Enter the e-mail address and choose a role; the new user gets an invitation by e-mail and sets their own password. The roles are Owner (full access), Finance (for accountants) and Employee. The number of users depends on the plan: Light and Light+ have 2 each, Basic 5, Pro no limit.
UsersWhat does an Employee see, and what does a Finance user see?
Owner and Finance see every document in the system. An Employee sees only the documents they created themselves and has no access to banking, settings or company-wide financial reports. The Finance role is meant for accountants: access to outgoing and incoming invoices, quotes and reports, plus data export, but no access to your settings.
UsersWhat is the difference between a user and an operator?
A user is a person who signs in to FIRA with their e-mail. An operator is a legal category (a tax number and a marker) that is sent with fiscalisation and shows who issued the invoice. That is why the button for adding an operator sits with users: add the person under Settings → Users first, and enter their operator marker and tax number there.
UsersI forgot my password or cannot sign in — what do I do?
Your username is always the e-mail address you registered with. Reset the password at app.fira.finance/password-reset — instructions for setting a new one arrive by e-mail. If you sign in with a Google account and would also like a password, set one under Settings → Users.
UsersDo I have to give my accountant my password?
Absolutely not. The accountant receives an invitation by e-mail and creates their own password, so your credentials stay yours.
UsersDo I lose data if I delete a user?
No. Data belongs to the company, not to a user's e-mail address — deleting a user only removes access from that address, while invoices, clients and settings stay untouched. That is also how you change your sign-in e-mail: add the new address as a user with the Owner role, then delete the old one.

Security 7
SecurityWhat happens to my data?
Your data sits securely in the cloud, protected by current technology. We know how sensitive information about your business is, which is why we take particular care over its security. We commit to collecting and processing our users' data responsibly, fairly and transparently, in line with applicable regulation. There is more on this in our privacy policy.
SecurityIs the information I enter in the application safe?
Yes. FIRA encrypts your confidential data using leading industry methods and recognised security standards (256-bit SSL certificates). The data sits within the European Union on Microsoft Azure cloud infrastructure. The cloud holds several copies of your data in different locations, which keeps it available and protected against loss.
SecurityHow secure is a cloud application?
Data created or stored in the application is protected and held in decentralised secure data centres. The cloud holds several copies of your data in different locations, which keeps it available and protected against loss.
SecurityWhat personal data do you collect?
We collect the personal data we need for you to access the application and for FIRA to work fully for you. There is more on this in our privacy policy.
SecurityWhere is my data physically stored?
All your data and invoices are stored on the Microsoft Azure platform, in its high-security data centres in Europe. The system automatically keeps several copies of the data to prevent any loss.
SecurityIs linking a bank account secure?
Yes. The connection is read-only — it cannot be used to issue payment orders, move funds or make payments from your account. It uses the PSD2 standard and secure API protocols through a licensed partner (GoCardless), the same ones banks across the European Union use for Open Banking.
SecurityHow long are my eInvoices kept?
eInvoices are archived on two levels — in FIRA (the PDF plus the original XML as an attachment) and in the free e-archive of our partner ePoslovanje — in line with the statutory retention period for accounting records, normally 11 years. Archiving is included in the plan price at no extra charge.
